Companies from all corners of the world find it difficult to protect their data because their employees don't know their responsibilities to prevent digital clutter. Despite the increase in the number of digital documents and files, not considering how to manage them causes security problems. In the global report titled “Correcting digital mess in workplaces” prepared by cyber security experts, a link was found between the formation of digital mess in workplaces and human habits such as organizing a refrigerator. In the study, nine out of ten people (95%) who said that the refrigerator was regular said the same for their digital working life.

Digital mess; It consists of business-related files, documents and data that the company does not fully see or have control over how it is stored and who can access it. Considering that 72% of the employees keep documents or sensitive data that can be understood to be owned, a security risk appears to occur. When these documents and data are leaked, the reputation or financial situation of companies, employees and potential customers can be damaged. 

Fighting digital mess is a challenging process for companies. One of the most important steps is to find out who is responsible for this mess. Approximately three-quarters (71%) of employees think that it is the managers and IT or security teams, not themselves, who are responsible for who can access emails, files and documents. Although IT and security teams can control employees' access to files and folders, this cannot completely prevent human error. By accident or will, employees can give access information to colleagues or people outside the company, or bypass IT managers with new collaboration tools. All of the people working on more than one document at the same time have the responsibility to avoid movements that can lead to digital clutter. 

According to the report, there is a relationship between the habits of the employees' daily life and the digital mess. It seems that the digital lives of most of those who have the habit of organizing the refrigerator are also regular. 88% of those who rearrange the refrigerator before the holidays also edit their business files. 

 
“As the amount of data increases exponentially, corporate executives should realize the digital mess and the security risks it brings with,” said Kaspersky Global Vice President of Sales, Maxim Frolov. you can be more resistant to cyber threats. Employees should be shown how to best manage their digital assets. In addition, the understanding of “increasing and decreasing complexity”, which is a simple but effective protection method, should be adopted. ” 

Kaspersky recommends companies that don't want to be victims of digital mess:

Train your employees. 

Remind employees regularly how important it is to implement cyber security rules. For example, you can hang posters in the office for this. Thus, you can prevent the loss of acquired cyber security skills.

Back up important data to secure corporate information, and regularly update IT equipment and applications to avoid uncovered vulnerabilities.
